Step 1 — Map where your time actually goes

For one week, notice the tasks that eat your team's time: intake, scheduling, quoting, support, reporting, admin. You're not looking for what's hard — you're looking for what's repetitive. Volume × frequency is where the money is.

Step 2 — Find the repetitive, rule-ish work

The best AI candidates are tasks that are frequent, follow rough rules, and are done by a person today. Answering the same customer questions, re-typing data between systems, drafting similar documents — these are gold. One-off, judgment-heavy work is not.

Step 3 — Pick ONE quick win

Resist the urge to fix everything at once. Choose a single opportunity that's high impact and low effort — ideally one that uses tools you already own. Prove it works, build confidence, and get a visible result before you expand. Momentum beats ambition here.

Step 4 — Keep a human in the loop

New automations should start with a person approving the output — never auto-send money, contracts, or customer messages on day one. Earn autonomy only after accuracy is proven. This is how you get the upside of AI without the horror stories.

Step 5 — Measure, then expand

Give every change a 30-day success measure — hours saved, faster response, more quotes sent. Keep what works, drop what doesn't, and only then layer on the next opportunity.
